High School and Middle School
Swimming
May I compete for my school while I am swimming for BBD?
Yes, you may compete for your school as long as
you fulfill your obligations to BBD. The primary BBD requirements are to
attend three YMCA meets and participate in the championship meets.
Middle School swimmers are also expected to attend BBD practices during
their Middle School season. The following rules are not BBD rules, but
Middle and High School rules. We are publishing them here to make it easier
for you to schedule your swimmer’s BBD meets:

Any swimmer may compete in a maximum of 2
non-school (in this case BBD) meets during the school swim season.

The school’s swim season is defined as
starting on the day of the first school swim meet (not the first
practice), and ending on the day of the last school swim meet.

Please note, this means that even if you are
not competing in your school's league or state meet, your season lasts
until your teammates have completed that final meet.

6th graders
only are not covered by the MHSAA rules listed above. If your team is 6th
graders only and you do not compete in your league meet, you
may swim as many BBD meets as you'd like during the middle school season.
May I use times achieved at Middle/High School meets for
BBD qualifying times?

Any time achieved while swimming for your
school may be used for BBD qualifying times.

In order to use that time, you must submit
proof of the time achieved to the Proofs/Time Updates Chairperson (click on
Officers & Chairs link).

Proof is defined as a copy of the official
meet results signed by the meet official, which can be difficult to get. It
is highly recommended that you obtain a copy of the official meet results
as soon after the meet as possible. School coaches do not always retain
these results. Without the proof, you may not use the time.
Middle
School Girls
Your first Middle School meets usually start in
late November or early December and ends approximately two-thirds of the way through January.
If you do not meet your three YMCA
meet requirement before the Middle School Season starts it is highly
recommended that you complete your remaining YMCA meets before the end of
the Middle School swim season, as there are few, if any, offered after that.
Middle
School Boys
Your swim season begins at the end of January,
and runs through BBD’s championship season. You must complete your
three YMCA meets before the Middle School
season begins. Your two allowed BBD meets are typically two
of the following meets: Clusters (required meet), YMCA state meet, or USS
state meet. Your season is done before the YMCA zone meet.
High School Girls
BBD strongly recommends you attend both days of
the October Fall Festival/Sunday Fun meet sponsored by BBD. This meet is
specifically set up to accommodate our High School swimmers, as each day
counts as a separate meet. Upon attending both days, you will have
completed twp of the three YMCA meets required to compete in championship
BBD meets. There are several opportunities after your High School season is
over to attend your third YMCA meet.
High School Boys
BBD strongly recommends you attend both
days of the October Fall Festival/Sunday Fun meet sponsored by BBD. This
meet is specifically set up to accommodate our High School swimmers, as each
day counts as a separate meet. Upon attending both days, you will have
completed two of the three YMCA meets required to compete in championship
BBD meets. The boy’s season usually runs right through Clusters and the
State meets, which will be your two outside meets. That is why you must
complete your three YMCA meets before your High School season starts.

Proof
of Times Information
Guidelines for Proofs:
-
Parents are responsible for keeping track of
standards achieved in school meets, printing/copying the official meet
results and sending them to the BBD proofs person (contact info below)
to add to the team’s files. You can also email a PDF/HTML file with the
results, but at this time we still also need paper copies of each outside
proof. The signed paper results (proof of times) need to be mailed to this

‘Best Times’ or swimmer summary reports cannot
be used as proofs, even if they are signed. Only official meet results
from the host team or facility can be used for proofs.

High school and middle school times can possibly
be used for Indy, YMCA championships and USA Swim qualifying standards.
A proof consists of two or more printed pages:
-
First page is the meet results page with the
host facility, meet date, official’s signature and coach's signatures
included.
-
Subsequent page(s) are the pages with the
individual results to be added to the proofs file.
-
Provide a note with the meet results indicating
the meet name, meet date, swimmer’s full name, and the event(s) and the
time(s) you wish to add to the team’s proof files.
The date and host/facility on the two pages
must be the same. The meet html file is often acceptable proof, but
should be accompanied by the meet results page with the official’s
signature.

It is recommended that official results be
obtained immediately after the meet. The longer the delay in getting
official results, the higher the risk of not getting them.
-
School coaches and/or athletic departments do
not always allow parents to have official meet results. Also, some teams do
not keep results after the season is over. If you expect to use school
times, talk to your school coach about the best way to handle proofs.

If official results are not available, swimmers
cannot use those times in meets that require
-
proof of time.
-
BBD cannot search for school websites or search
through high school and middle school meet results to find your swimmer’s
achieved standards.
-
If you feel your swimmer can get faster cuts
later in the season and that a proof is not needed this early, consider that
swimmers who train with their school team and taper for league and/or state
championships sometimes swim their best times of the season with their
school teams.

Realize that results of most prior year outside
meets are deleted from the BBD database at the beginning of the current
season. The only meets which will remain are those that fall within the
qualification window for the current season Zone meet (usually meets
occurring on or after March 1 of the current season). If you need a proof
(high school/middle school proof you originally provided) from a deleted
meet that occurred within an upcoming meet’s qualifying time period, contact
the BBD proof person. This generally applies only to the Indy meet.

During the season parents are responsible for
reviewing USS meet results posted at
http://uss-michigan.com/. USS results released immediately after a meet
are not official. Only posted meet results are official. Official results
will not be posted immediately. Immediate results will hopefully be
obtained and posted to the BBD website, but parents are responsible for
reviewing the official results and notifying the BBD proof person of any
discrepancies.
Zone Meet Definition of
Official Meet Results/Proof
***NEW For the 2009 Great Lakes zone meet, we are
relying on the integrity of the coaches and we will not ask for a blanket
proof of time. If any times are in question you will be informed and you must
bring proof of time to the meet. If you are not informed, you do not need to
bring meet results. If you are notified that you must prove times, the
following are acceptable:

Original, good carbon, or Xeroxed copy signed
be the referee head scorer and both coaches, Signatures are only necessary
on hand written results. Computer generated results (for Y/USS meets) do not
need to be signed. Either the referee or the scorer must be a YMCA certified
official.

Official results from invitational meets or
championship meet and YMCA, USA Swimming or High School competitions.
-
The referee or head scorer and both coaches
must sign high school dual meet results (even when they are computer
generated). sheets. The referee or head scorer must hold some type of
certification and that must be indicated on the result sheet.

Newspaper results are NOT acceptable.
-
Any entry will be scratched if the seed time
cannot be verified prior to the start of the individual’s session.
-
Coaches who are unable to prove a sufficient
number of times will be banned from next year’s Zone Meet, and a letter will
be sent to the Executive Director explaining the action.
-
A Team Manager Top Times Report is not
acceptable at the proof of time table. A printout from USA-swimming
SWIMS is acceptable.
Questions and Answers on Proofs from the YMCA National Website forums

Question 1: I know that HS times are
accepted for the SC National Meet, but are they also accepted for the LC
Meet? I remember seeing it explicitly mentioned in the SC handbook, but can't
remember if its in the LC book, too.
Question 1A: A follow-up on question
1 -- What is an acceptable proof? For dual meets, the meet ref signs off on
the results, and both coaches get a copy, so that's not an issue. However,
for our league and regional meets (both sanctioned), we just get a print-off,
no signature. Does the fact that its a sanctioned meet negate the need for a
signature? Ditto for, say, a HS state meet. Is the print-off fine, or should
I call and request a signed copy?
Answer: Yes, you can use HS time
for short and long course meets . You will need the referee signature for your
HS and league (Glenda Pae)
Question 2: Are the USA-S times online
acceptable proof of times? Can I just download each swimmer's page from the
USA Swimming data base that lists all their times and use this as proof of
time? I believe these were accepted last year, but I don't see anything in
the meet info stating they will be accepted this year.
Answer 2: We will only accept
times that can be downloaded from a secure site. The USA-S SWIMS data base is
fine because it downloads into a PDF format. (John Mendell, Moderator - Short

USA Meets Proof of
Times
Indy Meet
Missed Cuts: Indiana Swimming requires all missed
cuts to be proved or a fine paid for each missed cut. The fine is $5.00 on
deck or $6.00 to Indiana Swimming within 30 days of the meet. A copy of each
club’s missed cuts will be sent to the Indiana Swimming and to each club after
the meet. An additional $50.00 fine will be charged after the 30 day period.
If fines are not paid within 60 days, the club and the swimmers will be
suspended from competing in Indiana meets.
Missed Cuts books will be located in the East
Control room. Parents will be allowed to go down the back hall to enter this
room. We encourage all teams to take care of missed cuts during the meet.
Pre-verification for Friday events must be
received by e-mail, mail or fax 1-317-536-3336 no later than 5:00p.m.
Wednesday, January 7th. Circle the names as highlighted names are not readable
from a faxed copy. Acceptable pre-verifications include: team manager top
times report with date achieved and meet name, copies of meet results, times
obtained from the LSC data base as long as the printout includes information
identifying the LSC source, times from the USA Swimming database. The list of
swimmers qualifying for the Friday evening events will be e-mailed to entry
chairpersons by Monday, January 12th, and will also be posted on the
Brownsburg Swim Club website:
www.brownsburgswimclub.com.
Michigan Meets
Individual Meets
- The Office of Michigan Swimming has established a "State Meet Qualifying
Times Database” (SMQTDB). It consists of results of all MS sanctioned meets as
well as official results from the US Open, Sectionals, USA National Meets and
the MHSAA Division 1 and 2 -Boys and Girls High School State Meets during this
meets qualifying period (On or after March xx, xxxx). All individual entries
submitted for the xxxx 13&14 and Open Short Course State Championships will be
pre-verified for qualifying time eligibility by the Michigan Swimming Office
by comparing the submitted entry time against this database. If a qualifying
time was made at a meet that is contained within the SMQTMB (occurred at one
of the meets noted above) there is no need to submit a proof of time with your
entry.
However, an entry with a qualifying time that
cannot be pre-verified with the database will be rejected, the swimmer will
not be entered in the meet and MS will notify your club's entry chair via the
coaches email address stated on your entry form of the rejected entry(s).
Thus, it is highly suggested that all entry times be thoroughly checked for
accuracy before submission. The risk of missing the entry deadline date falls
on the entrant due to the lack of an accurate proof of time. If required, an
acceptable proof of time must be submitted prior to the entry deadline.
If a qualifying time was achieved at a USA
Swimming sanctioned meet which occurred outside the State of Michigan (e.g.
Ohio Swimming, Indiana Swimming, etc.), advise Jan Cartmill
(jbcartmill@xxx.com) of the meet attended (include the name of the meet, date
and location) and Mrs. Cartmill will obtain the results directly from the meet
host. The results will then be entered into the SMQTDB and no further proof of
time will be necessary. **If the qualifying time was achieved at a meet that
the results are not contained within the SMQTDB you must submit a proof of
time with your entry (see next paragraph). **
If your event and qualifying time cannot be
pre-verified through the SMQTDB, you are required to submit a proof of time to
the Office of Michigan Swimming by the entry deadline. For example, if the
time was achieved at a meet that is not contained in the SMQTDB (e.g. a high
school dual meet, a high school conference meet, a YMCA meet, etc) you must
submit a proof of time to the Office of Michigan Swimming by the entry
deadline or your entry will be rejected and the swimmer will not be entered in
the meet. Acceptable proofs include printed meet results, computer printed
award labels, or a swimmer's time card signed by the Meet Referee. Proofs of
time must be dated and that date must be on or after March xx, xxxx. Michigan
Swimming reserves the right to independently verify all proofs of time. Mail

Relay Proof of Time
- If the relay actually swims slower than the qualifying standard, proof of
time is required. This is done by proving the aggregate time for the four
individuals who actually swam on the particular relay within 30 days following
the conclusion of the meet to the MS Office. The aggregate time to be proved
need not be equivalent to the submitted entry time for the relay, however, the
time must be at or faster than the qualifying standard for the relay event.
Aggregate proof times must all be equivalent (i.e. all SCY, all LCM, all SCM)
and all times must have been achieved during the qualifying period (on or
after March xx,xxxx). Failure to prove a qualifying aggregate time within the
30 days will result in a fine of $100 payable immediately to the Office of
Michigan Swimming. Failure to pay the $100 fine will result in the team being
barred from participating in any future events sanctioned or approved by
Michigan Swimming until the fine is paid.
